Job Title: Stage Manager Location: Community Recreation Center - Wilmette, IL 60091 Position Type: Part Time (Short Term) Salary: $2,250 per production (flat stipend per show) Job Shift: Various Job Summary The Stage Manager coordinates rehearsals, manages backstage operations, and calls performances, serving as the central communication hub for the production team. Working closely with the production manager, directors, designers, cast members, crew, and families, the Stage Manager oversees rehearsal logistics, maintains production documentation, and ensures productions run smoothly, safely, and efficiently from rehearsals through performances. Essential Duties and Responsibilities Pre-Production Attend and record notes in all pre‑production meetings. Set up the company Dropbox with music tracks, choreography folder, and digital copy of the script. Scan the script if no digital copy exists and if allowed by royalty agreement. Collect schedules from the creative team, combine into one document, and include actor conflicts. Rehearsal Take attendance; follow up with absentees who are not excused. Take notes of blocking and production needs; distribute rehearsal reports afterward. Monitor the rehearsal room for behavioral needs. Communicate weekly call to families and share design updates with parents as needed. Create a transition sheet for student crew to manage and teach transitions ahead of tech week. Oversee Assistant Stage Managers and coordinate their responsibilities. Tech Take attendance; follow up with absentees who are not excused. Run rehearsals; answer questions alongside the production manager. Call the show, including backstage cues and ensemble from off‑site dressing room. Execute lights and sound Go cues as pre‑programmed by designers. Coordinate and oversee assistant stage managers in duties, including furniture management. Manage updates to the run sheet. Work with the director to create a daily schedule for the production run. Organize and distribute cast gifts (shirts, bags, etc.). Review and edit the program for cast accuracy. During the Run Take attendance; follow up with absent members. Run warm‑up numbers per music director’s agreement. Call the show, including ensemble calls from off‑site dressing room when needed. Oversee assistant stage managers in responsibilities. Manage updates to the run sheet. Post Show Collect all loaned materials from the cast. Ensure booth cleanup and storage. Other Duties Actively uphold and contribute to the Wilmette Park District’s Comprehensive and Strategic Plan, guiding principles, and strategic priorities. Actively contribute to the Park District’s sustainability goals. Safety Responsibilities Support the safety program to effectively control and reduce accidents. Obey the safety rules, regulations, and procedures established by the Wilmette Park District relevant to activities. Familiarize and follow District safety procedures, including fire, severe weather, and evacuation procedures. Report all unsafe actions or conditions to supervisor, HR, or Risk Management division. Attend and participate in required safety training. Qualification Requirements Must be at least 18 years of age. Physical Demands / Work Environment Frequently required to stoop, kneel, crouch, or crawl. Regularly required to talk or hear, feel, and reach with hands and arms. Frequently required to stand, walk, climb, or balance; push/pull objects. Regularly lift and/or move up to 20 pounds; occasionally up to 40 pounds. Noise level usually moderate to high. Hours Position compensated as a flat stipend per production, based on an estimated average of 75 hours per show. Rehearsals: 1–3 days per week, typically Wednesday and Thursday evenings, and Saturday daytime. Tech Week: Monday–Thursday, 5:30–8:30PM the week of opening night.
